Position Descriptions

There are 28 Positions to be filled each year.

 

CMLAC President (3 Hours per week)

  • Liaise with Little Athletics Victoria to represent the interests of CMLAC
  • Liaise with Eastern Metro Region to represent the interests of CMLAC
  • Chair committee meetings
  • Be the club’s EMR delegate at regional meetings
  • Support the Committee Members as required
  • Ensure the effective administration of the centre
  • Ensure the financial health f the centre
  • Communicate with parents and athletes regarding feedback
  • Represent the centre to the community
  • Promote the centre to sponsors

 

CMLAC Vice President (3 Hours per week)

  • Assist the President in managing the centre
  • Work with Committee Member to ensure their tasks are being performed adequately
  • Recruit Committee Members where vacancies exist
  • Act as a back up for the President at meetings and functions

 

Treasurer( 2 Hours per week)

  • Plan and implement all financial arrangements for the Centre activities.
  • Prepare and present to the Executive Committee a detailed budget of income and expenditure at the start of each financial year.
  • Arrange for the President, Secretary and self to act as signatories on all Centre bank and investment accounts.
  • Collect fees, levies and other amounts payable to the centre, Region or Association. (Club registrations are handled by the Registrar.)
  • Bank all monies received promptly into the Centre bank accounts.
  • Pay authorised invoices promptly. Such payments to be made by cheque only.
  • Keep accurate records for all transactions made by the Centre, including reconciliation of bank accounts.
  • Prepare and present to each Executive Committee meeting a current statement of account, including separate details of income and expenses since the previous meeting.
  • Present a statement of Income and Expenditure and Balance Sheet to the Annual General Meetings.
  • Ensure that all books and records are audited prior to being presented at the AGM.

 

Head of Coaching (5 Hours per week)

  • Organising coaching panel of qualified coaches
  • Plan and document coaching requirements
  • Recruit parents and other coaches to assist with training sessions
  • Organise other coaches of various levels to lead training sessions
  • Organise the relay coaches and relay program
  • Organise the listing of coaching times and coaching contact details
  • Arrange educational opportunities for Coaches
  • Liaise with external coaching resources to provide ongoing mentoring and education for all CMLAC coaches
  • Liaise with Athletics Victoria regarding coaching opportunities

 

Club Coach (3 Hours per week)                                                                                           

  • If not accredited attends a Level 1 Coaching Course organised by the Head of Coaching
  • Promotes coaching as an important activity within the club
  • Assist Age Group Managers in developing athletes
  • Develop coaching plans and training schedules
  • Facilitates training sessions to maximise participation in safe and fun environment
  • Communicates with athletes and parents
  • Creates a sense of team and inclusion
  • Acquires skills in the relevant discipline through ongoing training
  • Promotes participation by athletes and parents in the coaching program
  • Works closely with Competition Manager to improve club performance
  • Encourage elite CMLAC athletes to assist in development of junior athletes

 

Communications and Marketing (10 Hours at start of season, 1 Hour per week)

  • Ensure that all club activities are promoted in the local community through publicity in local newspapers, schools and businesses
  • Send weekly email
  • Formulate handbook
  • Communicate weekly training times and age group duty schedule
  • Develop brochures, handouts, flyers and other publications for use by clubs in promoting Little Athletics in the local community
  • Organising any advertising required by Centre such as schools flyer
  • Manage the club noticeboard

 

Website Manager (2 Hours per week)

  • Maintain the club website
  • Manage the photo gallery
  • Update the website throughout the year with current information regarding centre activities
  • Ensure all links are functioning correctly

 

Sponsorship Coordinator (10 Hours start of season)

  • Develop and implement a marketing plan and value proposition aimed at attracting major sponsors for activities and projects
  • Communicate with major sponsors with regard to their sponsorship
  • Produce end of season thank you packs for sponsors

 

Handbook Editor (10 Hours start of season)

  • Gather the information required to update the handbook for the forthcoming season
  • Amend the handbook as required with current information
  • Produce a draft of the handbook for review by the Committee
  • Amend the handbook as required and produce a final version in PDF format
  • Deliver the handbook file to the website manager

 

Secretary and Administration (1 Hour per week)

  • Handle all inward and outward correspondence
  • File and maintain relevant administrative material
  • Prepare agenda, take and distribute minutes of Committee Meetings
  • First point of contact for information on Little Athletics
  • Maintain relevant administrative material
  • Ensure that all committee members have a current working with children certification

 

Office Mgr (2 Hours per week)

  • Keep club rooms clean and tidy
  • Manage Stationery supplies and purchase as required
  • Be available at each meeting for questions from members. (This task will be rostered among committee members)
  • Manage showbag distribution to clubs for registration day and subsequent registrations
  • Liaise with LAVic regarding achievement books and show bags

 

Registrar (20 Hours start of season, 1 Hour per week)

  • Contact point for information on Little Athletics
  • Responsible for registration of athletes to LAVic, ensuring athletes are entered into correct age groups
  • Collection of fees and family levies and remittance to Centre Treasurer
  • Manage Clubs Online and NARS
  • Issue competition numbers
  • Compile all necessary paperwork relating to registrations for LAVic

 

Uniform Manager (10 Hours start of season, 2 Hours during season)

  • Purchase uniforms in accordance with Centre requirements
  • Co-ordinate selling of Centre uniforms ensuring correct monies are kept
  • Collection of monies and issuing receipts
  • Forward correct monies to Treasurer

 

Results Manager (2 Hours per week)

  • Ensure competition recording sheets are printed before each meet and inserted in age group clipboards and to the recording tent.
  • Manage the recording of club records
  • Oversee and assist with all results data entry into the system
  • Deal with any errors and corrections needed
  • Liaise with Registrar regarding entry of athlete information
  • Manage the filing of weekly results so that they can be easily accessed and verified
  • Ensure the recording tent is adequately staff and supplies are topped up

 

Results Coordinator (2 Hours per week)

  • Oversee and assist with all results data entry into the system
  • Deal with any errors and corrections needed
  • Liaise with Results Manager regarding entry of athlete information

 

Competition Director (10 Hours start of season, 4 Hours during season)

  • Ensure that all Centre competition activities are in the best interest of athletes and are consistent with the ideals of Little Athletics generally and in accordance with Centre competition regulations and Centre behaviour policy
  • Investigate and recommend improvements to the Centre competition regulations by informing Executive, Clubs, athletes and Officials
  • Plan, organise club programs and championships
  • Prepare and present report for Centre Executive meetings, incorporating Program and Officials report
  • Assist the competition managers and mentor the competition managers (including recruiting volunteers to run the competitions)

 

Relay Comp Mgr (4 Hours plus 6 Hours for each Comp)

  • Promote participation in the relay season amongst CMLAC athletes
  • Organise the age groups into team for relay events to balance results and participation
  • Attend meetings at EMR and State level as required
  • Manage entry and payment for all relay events
  • Manage the CMLAC team at relay events including responding to and making protests
  • Organise relay training in conjunction with the Relay Coach
  • Distribute results to team members

 

Track & Field Comp Mgr (4 Hours plus 6 Hours for each Comp)

  • Promote participation in the Track and Field season amongst CMLAC athletes
  • Organise the team for Track and Field events
  • Attend meetings at EMR and State level as required
  • Manage entry and payment for all Track and Field events
  • Manage the CMLAC team at Track and Field events including responding to and making protests
  • Organise Track and Field training in conjunction with the Track and Field Coach
  • Distribute results to team members

         

Awards Manager (2 Hours per week)

  • Organise end of season trophies and awards
  • Print out awards data and compile winners at end of season including PB lists, Club Champions, Age Group Champions and Relay Champions

 

Cross Country Manager (4 Hours per week)

  • Attends EMR meetings and assists in determining the season competition schedule
  • Promotes the Cross Country Program to all athletes
  • Communicates with athletes and parents throughout the season
  • Conducts or organises weekly training schedule
  • Organises the team for each competition
  • Organises the team and entry forms for EMR
  • Organises the team and entry forms for State Championships
  • Nominates club champions and organises end of season award lunch

                                                                                            

Cross Country Host Event Manager (10 Hours for event plus 6 Hours on event day)

  • Assume responsibility for organising the host event for CMLAC on the designated date each season
  • Liaise with Council to reserve the oval at Orchard Grove and unlocking of toilet block
  • Manage the duty roster to ensure all positions are covered on the day of the event
  • Check equipment list and order any supplies required before the event
  • Promote the event within to CMLAC athletes
  • Oversee the set up and break down of the event
  • Liaise with caterer to provide food and beverage
  • Distribute results to other centres post the event

 

Saturday Comp Manager (3 Hours per week)

  • Produce the regular season competition schedule
  • Produce the weekly competition program as required
  • Oversee the efficient running of the Saturday competition and amend schedule to suit weather or time constraints
  • Recruit and assist parents involved in running the regular season competition
  • Communicate relevant information to athletes and parents before the start of competition
  • Liaise with Council to book the ovals and facilities on Competition and Training days for the season
  • Respond to parent and athlete queries and feedback in regard to the competition program

 

Gantry Manager (30 minutes before and after Comp)   

  • Check the gantry equipment to ensure it is functioning properly prior to the start of the season
  • Ensure the gantry timer is charged each week
  • Train gantry operators in the use of the gantry equipment
  • Be responsible for setting up an break down of gantry equipment for each competition in accordance with the schedule of events
  • Be responsible for all equipment maintenance and repairs

 

Age Group Coordinator (30 minutes before and after Comp)

  • Recruit age group leaders for all age groups at CMLAC
  • Train and mentor age group leaders in the performance of their duties
  • Inform the age group leaders of the role of coaching staff and to seek assistance in developing athletes in all events
  • Assist age group managers with any queries or issues that arise within the age group
  • Oversee the performance of the age group in running the competition on their assigned days
  • Develop and distribute the age group duty roster and at the start of the season
  • Provide a list of the age group leaders to the Awards Manager prior to the AGM

 

Age Group Leader x 14 (30 minutes before comp each week plus 1 hour training) Please indicate the age group (Age/Boys/Girls) ie U7 Boys.

  • Ensure the safety and enjoyment of athletics for the age group athletes
  • Ensure parents and athletes abide by the centre’s code of conduct and report any incidents to the Age Group Coordinator
  • Organise the age group to commence scheduled events on time during competitions
  • Communicate with age group athletes and parents regarding centre activities, competitions and training opportunities
  • Liaise with the club coaches to provide training as required
  • Organise the age group parents to perform duties in accordance with the roster

 

On Track (30 minutes before and after Comp)

  • Deliver the On Track program for U6 age group during the first half of the season
  • Be responsible for the set up of the On Track area each week
  • Emphasise skills development in a safe and fun environment to engender participation in athletics amongst U6 athletes
  • Communicate with age group parents regarding CMLAC rules and procedures
  • Organise the age group to commence scheduled events on time during competitions
  • Communicate with age group athletes and parents regarding centre activities, competitions and training opportunities
  • Liaise with the club coaches to provide training as required
  • Organise the age group parents to perform duties in accordance with the roster

 

Safety/First Aid (30 minutes before and after Comp)

  • Assume responsibility for the safety of athletes during Saturday competitions and advise the Saturday Competition Manager of any hazards or incidents
  • Undertake an inventory of the first aid kit and ensure it is fully stocked prior to the start of the season
  • Ensure that injured athletes receive proper treatment and advice at the time of injury
  • Record all incidents by completing an incident report and provide it to the Saturday centre Secretary

 

Head Starter (30 minutes before and after Comp)

  • Inspect the starting equipment prior to the start of the season and organise any repairs or ordering of supplies as required
  • Maintain the starting equipment throughout the season
  • Assist starters and gantry manager with any technical problems with starting equipment
  • Ensure that all starters are aware of their duties and at their positions for each Saturday Competition
  • Act as a Starter as required
  • Liaise with the Gantry Manager to ensure all timing equipment is ready for each Saturday Competition
